Vendor Guidelines
At Heart, we strive to create events that are enjoyable, welcoming, and successful for all participants. To ensure a positive experience for vendors, attendees, and organizers, we ask all vendors to adhere to the following:
Application and Fees:
All vendors must submit a completed application and purchase a vendor permit by the stated deadline.
Booth spaces are assigned on a first-come, first-served basis.
Event Setup and Teardown:
Vendors may begin setting up at the designated time (provided in event welcome packet).
All booths must be fully set up and operational 30 minutes before the event begins.
Teardown may only occur after the event ends. Early teardown disrupts the event experience and is not permitted.
Booth Requirements:
Vendors must provide their own tables, chairs, tents, and displays.
Tents should be securely weighted down for safety (minimum 25 lbs per leg).
Displays should be neat, professional, and confined to the assigned booth space.
Product and Service Guidelines:
All products and services must align with the event’s family-friendly nature.
Vendors are responsible for complying with all relevant local, state, and federal laws, including sales tax collection.
Cleanliness and Trash:
Vendors are responsible for keeping their booth area clean and for properly disposing of trash.
Please leave your booth space as you found it.
Weather and Emergencies:
Events are typically rain or shine. In the event of severe weather or other emergencies, the organizer will notify vendors of any changes.
Code of Conduct
Professionalism:
Vendors are expected to act professionally and courteously toward event staff, other vendors, and attendees at all times.
Inclusivity and Respect:
Discrimination, harassment, or disrespectful behavior of any kind will not be tolerated.
Vendors must create a welcoming atmosphere for all attendees, regardless of background or identity.
Noise Levels:
Vendors should maintain reasonable noise levels to ensure a pleasant experience for neighboring booths.
Safety Compliance:
Vendors must follow all safety regulations and event-specific instructions from organizers.
Conflict Resolution:
If issues arise, vendors should address them respectfully and inform event staff if assistance is needed.
Failure to Comply
Failure to comply with these guidelines and code of conduct may result in removal from the event without a refund and potential exclusion from future events.
